Getting Started

This walkthrough takes a new operator from signup to a fully working Hadar workspace in about thirty minutes. By the end you will have a verified account, an onboarding profile, a live lead form, a connected WhatsApp number, an enabled voice agent, and at least one teammate working alongside you. Each step lists a realistic time estimate so you can sequence the work — for example, kick off WhatsApp template review early because Meta approval is the slowest dependency.

You only need three things before you begin: a business email, your trade licence or company registration document (for the workspace profile), and the production phone number you intend to attach to WhatsApp.

1. Sign up and verify your email (≈ 2 minutes)

Sign up at https://app.hadar-ai.com/signup using a business email. The address you use here becomes the workspace owner — it cannot be changed later without a support ticket, so prefer a role inbox (ops@, founder@) over a personal address. A verification link arrives within sixty seconds; click it from the same device to avoid a second login challenge.

Once verified you are dropped into the onboarding wizard. The wizard cannot be skipped — it provisions an isolated, multi-tenant database namespace under your workspace ID, so it has to run end-to-end before any other action becomes available.

2. Complete the onboarding wizard (≈ 4 minutes)

The wizard collects four pieces of information: company legal name, primary trading market (Dubai is preselected for UAE signups), default working language, and brand colour. Hadar writes these into Workspace Settings and uses them to template downstream defaults — for example, the lead capture form picks up your brand colour, and the voice agent picks up your default language for greetings.

If your team works across DLD and RERA regulated transactions, set Compliance mode to UAE Real Estate. This unlocks the DLD oqood tracker, RERA permit field on listings, and the Bayut/Property Finder lead-source presets. You can toggle this later under Settings > Compliance, but it is faster to set it once during the wizard.

3. Capture your first lead (≈ 3 minutes)

From Lead Sources generate a public inquiry form. Hadar produces both a hosted URL you can drop into Linktree or a Bayut profile, and an embed snippet for your own site. The form fields are pre-populated for off-plan inquiries (budget in AED, area, bedrooms, handover horizon) — edit the schema if you sell secondary or commercial. Submit a test inquiry; it will land in your inbox within a second, score itself against your playbook, and route to the first available agent or to a workflow you nominate.

Lead source attribution is preserved on every record. UTMs from your portal, Bayut, and Property Finder are normalised into the source and source_detail columns so your weekly funnel report shows real numbers.

4. Connect WhatsApp (≈ 6 minutes — plus Meta review)

Most teams launch with UltraMsg because it accepts any production WhatsApp number and is live the same day. Open Integrations > WhatsApp, paste your UltraMsg instance ID and token, and run the connection test. Once green, every message routed through Hadar carries your opt-in language, the lead context, and the 24-hour customer service window awareness.

Plan the migration to Meta Cloud API the day you switch to templated marketing or expect more than ten thousand sends per month. 5. Enable the voice agent (≈ 4 minutes)

From Settings > Agents > Voice toggle Voice agent enabled, confirm the virtual number country (the UAE is the default), and pick a voice ID from the Dubai-tuned catalogue. The agent provisions a phone number within two minutes. Click Place test call to verify the round trip end-to-end — Hadar calls you, plays the greeting, listens for a reply, and writes the transcript to your timeline. 6. Invite your team (≈ 3 minutes)

Open Settings > Team and invite operators by email. Roles map to the responsibilities you already use day-to-day:

  • Admin — workspace owner equivalent; changes billing, rotates API keys, edits compliance settings.
  • Manager — assigns leads, edits playbooks, reviews voice transcripts, publishes property listings.
  • Agent — works the inbox, replies on WhatsApp, places outbound calls, schedules viewings.
  • Viewer — read-only access for accountants, auditors, and external investors.

Invitations expire after seven days. Every invite, role change, and revocation lands in the audit log with the actor, target, IP address, and trace ID. If you operate under DLD compliance keep Settings > Audit Log Retention at twelve months or longer.

7. Connect your outbound email (≈ 4 minutes)

Optional but recommended: connect Gmail or Microsoft 365 from Integrations > Email. Hadar requests only the scopes required to send-on-behalf and read replies, and stores tokens with per-tenant envelope encryption in integration_tokens. Once connected, conversational threads stitch across WhatsApp, email, and voice on the same lead timeline.

8. Set your AED billing details (≈ 4 minutes)

Add your payment method and FTA TRN under Settings > Billing. Hadar invoices in AED, applies UAE VAT on the correct line items, and emails a compliant tax invoice immediately after each successful charge. Plan changes prorate to the day. Your first thirty minutes — checklist

  • Verified your email and signed in as the workspace owner.
  • Completed the onboarding wizard with company name, market, language, brand colour.
  • Generated a lead capture form and submitted one test inquiry.
  • Connected at least one WhatsApp provider (UltraMsg for launch, Meta queued).
  • Enabled the voice agent and placed one test call.
  • Invited at least one teammate with the correct role.
  • Connected Gmail or Microsoft 365 (optional but recommended).
  • Added a payment method and FTA TRN under Billing.
